for Your Construction Company
Technology is an incredibly powerful force, affecting
our lives everyday at home, at work and at play. We see
technology everywhere: a digital clock on the dash of the
car or a radio the size of a small wallet. Purchasing these
items is usually not a big deal; however, upgrading or purchasing
a software package can be an intimidating proposition. Why?
It can involve a substantial amount of money. Secondly,
there are a lot of salespeople who feel they have the "best"
package, and it is absolutely "perfect" for your
company. Last, but not least, a company may feel its future
hinges on the effectiveness of the software purchased. This
article offers some steps to help you select the proper
software package for your company.
Achieving success from a software upgrade or purchase is
not as simple as it may seem. When upgrading software it
is important to understand your company’s needs and
criteria. Unfortunately, too often these items are misunderstood.
This is illustrated time and again by statements such as
"The new software is nice, but I just wish it could
also do…" or when companies must purchase additional
software or hardware immediately following the installation
of a new software package in order to try and achieve the
original goal.
1. Analyze Existing Systems-In performing
a software evaluation the first step is to review your existing
systems. Ask yourself, "What do I like and dislike?
What are the strengths and weaknesses of the software? If
you do not have the type of software system you are considering,
talk to people in a similar line of work about their systems.
Ask them what they like or dislike about their software
system and what they consider to be the strengths and weaknesses
of their package.
2. Determine Needs-Next, perform interviews
with key members of your staff to determine what they want
from a new system. Your questions should include: What are
the preferred platforms? What additional functionality is
needed? How much money is the company willing to invest?
What information needs to be produced by the package? And,
does the software need to interact with any other packages
or machines? Talk with all your departments; a good software
package will provide the necessary functions for all areas
of the company, not just one or two.
3. Prioritize Needs-Once you have gathered
information from key staff members, you need to rank them.
This can be a difficult process. The ranking needs to be
objective. After you have ranked the needs, discuss the
ranking among key employees and compromise where necessary.
A strong and effective ranking system allows you to rank
the items according to the benefits provided to the business,
not personal feelings or biases.
4. Research-Once you have a list of needs,
the next step is research. You can find information on software
companies in a variety of mediums, including newspapers,
magazines, trade papers, the Internet, television and the
radio to name a few. If you have a business network, you
may be able to ask for referrals to good, solid software
companies.
5. Request Information-Next, you will
want to contact the software companies and request information
on their packages. Some software companies will send you
a demo package in addition to information on their product(s).
Once you have the information you can begin comparing the
packages to your company’s "wish list" that
you created. You will want to narrow your search down to
about three packages that fit your needs.
6. View Software-When you have narrowed
your list to a workable number, invite those companies to
demonstrate their product for you. This will give you a
better idea of how the software really works. This also
gives you the opportunity to ask questions like: What kind
of support does the company offer? How often does the company
update the software: and so forth. By the time you view
the software packages, you should have enough information
to make an informed decision. You are ready to make your
purchase.
This method does not guarantee you will choose the perfect
software, but, if you follow these steps you will have a
better than average chance of ending up with a product that
will serve you and your company for a long time to come.
